Connected systems

Document which systems the workflow reads and writes, and which providers process the information. Do not assume data stays in one application.

Permissions

Agree the minimum access needed, the account owner and how access is revoked. Administrative and support access should be included in the review.

Storage and retention

Confirm where logs, recordings and documents are stored, their retention periods and the export or deletion process. These depend on the chosen providers and configuration.

Controls and responsibilities

Provider settings

Review applicable processing terms, security features and training settings for each selected provider and plan.

Sensitive workflows

Healthcare and other sensitive uses need a separate review of the intended data, provider eligibility and required agreements before activation. This page is not a certification.

Actions and approvals

Agree which actions require a person. Payment, refund and account changes should have explicit authorization boundaries.

Usage and capacity

Document spending limits, alerts, concurrency and fallback behavior. Provider limits and billing delays can affect enforcement.
